Clients Assistant — Payroll for small employers
Clients Assistant
Payroll

Pay your staff, with tax and NI worked out.

Clients Assistant runs your company's payroll: add your employees, choose the pay date, and see each person's pay, PAYE tax and National Insurance worked out with the 2026 to 2027 rates. Confirm the pay run when it's right.

Sending to HMRC opens soon. The Full Payment Submission (FPS) and Employer Payment Summary (EPS) are built to HMRC's 2026 to 2027 specification, and we're applying for HMRC recognition. Until sending opens here, send them with HMRC's free Basic PAYE Tools or your current payroll software.

How it works

From first employee to confirmed pay run

01 / set up

Set up your payroll

Add your pay cycles, departments and job titles, and the pay items you use: salary, hourly pay, bonuses, pension contributions and deductions.

02 / employees

Add your employees

Enter each employee's start date, tax code, National Insurance number and category, and mark directors so their National Insurance is worked out the director's way.

03 / pay

Run and confirm the pay

Choose the pay date, check each person's pay, tax and National Insurance line by line, then confirm the pay run. A pay date that's already confirmed can't be paid twice.

PAYE and NI the way HMRC works them out.

Tax is worked out on the cumulative basis from the start of the tax year, or week 1/month 1 where the code says so, with HMRC's 2026 to 2027 tax tables. National Insurance uses the 2026 to 2027 thresholds and rates for each employee's category letter, with directors on an annual earnings period.

  • Tax codes including K codes and week 1/month 1
  • Employee and employer National Insurance by category letter
  • Directors' National Insurance on an annual earnings period
  • Hourly pay worked out as hours × rate
  • Pension contributions taken off taxable pay under a net pay arrangement
  • Each person's pay broken down line by line before you confirm

Questions people ask before switching

Yes. Tax is worked out with HMRC's 2026 to 2027 tax tables, on the cumulative basis or week 1/month 1 as the tax code says, including K codes. Employee and employer National Insurance use the 2026 to 2027 thresholds and rates for the employee's category letter, and directors' National Insurance is worked out on an annual earnings period.

Not yet. The Full Payment Submission and Employer Payment Summary are built to HMRC's 2026 to 2027 specification, and we're applying for HMRC recognition. Until sending opens here, send them with HMRC's free Basic PAYE Tools or your current payroll software, using the figures from your Clients Assistant pay run.

Yes. Set the hourly rate and the hours on the employee's pay items, and their pay is worked out as hours × rate.

Weekly, fortnightly, four-weekly and monthly. Each pay cycle has its own pay dates, and you choose the date when you start a pay run.

Yes. Record sick leave, paternity leave (birth or adoption) and adoption leave for each employee, with the dates and whether you've received the paperwork.

Each pay run is confirmed once. A pay date that's already confirmed can't be saved or paid again, so the same pay isn't counted twice in the year's figures.

Yes. An admin invites each person by email from the Users page. They accept by creating an account, or by signing in with an existing Clients Assistant account. The payroll plan includes up to 5 users for the company.

Your account is protected by your password, and you can add two-step sign-in for free. Turn it on under Settings > Business Setup > Sign-in Security: after your password, you enter a 6-digit code from an authenticator app on your phone, such as Google Authenticator or Microsoft Authenticator, so someone who learns your password still can't sign in. It's optional, and you can turn it off at any time. If you lose your phone, an admin of your company or Clients Assistant support can reset it, and we email you whenever that happens.
